How to create and manage Outlook email rules


Email Rules help you automatically organize and manage your inbox by performing actions on incoming messages based on conditions you define. For example, you can move emails from specific senders into folders, flag important messages, categorize emails, or automatically delete unwanted messages.

Creating rules can save time, reduce inbox clutter, and help ensure important communications are easy to find and respond to. Microsoft Outlook provides a variety of options for creating and managing rules, allowing you to customize how incoming emails are handled to best fit your workflow.

In the following section, you'll learn how to create, modify, and manage email rules to keep your inbox organized and efficient.


Important Note About Email Rules

While email rules can be very helpful for organizing your inbox, creating too many rules can lead to confusion and unexpected results. Multiple rules may overlap, causing emails to be moved, categorized, or deleted in ways that are difficult to track. This can make it challenging to locate important messages or troubleshoot inbox issues.

To keep your email management simple and effective:

  • Create rules only when they provide clear value.
  • Periodically review and remove outdated or unnecessary rules.
  • Use descriptive names so the purpose of each rule is easy to identify.
  • Avoid creating multiple rules that perform similar actions.
  • Test new rules to ensure they work as intended.

A small number of well-organized rules is typically more effective and easier to manage than a large number of complex or overlapping rules.


Accessing Email Rules

  1. Open Outlook.
  2. From the Home tab, select Rules.
  3. Click Manage Rules.

Creating, Modifying, and Managing Email Rules

1. Create a New Rule

Every rule requires three basic components:

  • A Name
  • A Condition
  • An Action

Rules can also include Exceptions.

You can add multiple conditions, actions, and exceptions by selecting:

  • Add a Condition
  • Add an Action
  • Add an Exception

If you do not want any additional rules to process a message after this rule runs, select Stop Processing More Rules.

When finished, click Save to create the rule, or Discard to cancel.


2. Enable or Disable a Rule

If you want to temporarily stop a rule without deleting it, use the toggle switch next to the rule name to turn it Off or On.


3. Run a Rule on Existing Messages

By default, a rule applies to new incoming messages after it is created.

To apply a rule to existing messages:

  1. Locate the rule.
  2. Select the Run Rule option () next to the rule.
  3. Follow the prompts to apply the rule to existing emails.

4. Change Rule Processing Order

Rules are processed from top to bottom.

To change the order:

  1. Select the rule you want to move.
  2. Use the Up or Down arrows to reposition it within the list.

5. Edit a Rule

  1. Select the Edit (pencil) icon next to the rule.
  2. Make the desired changes.
  3. Click Save.

6. Delete a Rule

  1. Select the Delete (trash can) icon next to the rule.
  2. Confirm the deletion if prompted.
